Institutionalization of SMEs
All companies are born from an identification of a need and offer the product or service that the customer needs.
For this, companies are normally born with the culture of "todologismo" which we have defined as the culture where the owner or founder does "everything", that is, the same person sells, charges, distributes, manages... and in To the extent that they are growing in sales and/or clients, they need trusted people to help them, but the culture and activities are focused on “todologism” where everything revolves around the owner and in relation to what the director does or does not do, decides or does not decide. So institutionalizing the company is about helping the owner or founder to:
- Give structure to the organization.
- Define roles and responsibilities
- Make decisions with the management team.
- Measure objectives.
- Know how to ask for results.
The lack of institutionalization in companies generates problems so serious that they can lead to bankruptcy, paralysis or decapitalization of the business.
Today, institutionalization is linked to innovation where more and more SMEs choose to innovate to improve their brand, differentiate themselves from their competition and acquire a solid online presence that generates trust. To do this, it is essential to begin a process of INSTITUTIONALIZATION and digital transformation that involves the entire structure of the organization. This will help improve it and (re)position it in the market with new perspectives for growth and development. In addition, digitalization projects will help them stay up to date with their competitors and satisfy their customers.
If you are looking for easy ways to implement this digitalization, you are in the right place. Coacharte will help you adopt Zoho One using the Agile framework, with deliveries through weekly Sprints (scrums).
How do we do it?
Through 6 stages:
DESIGN
- We hold sessions to design the solution with the client. The result of this meeting allows generating the bases for the initial configuration of the system.
- We put together the test scenarios for the Conference Room Pilot (CRP) cycles explained below.
CRP 1
The Conference Room Pilot 1 is a session where a system proposal is presented to the client, we run an entire process from which information is obtained to make the adjustments and changes that are necessary and thus be able to reach the final version.
- Zoho One Tool Configuration.
- First session of review and validation of scenarios with real data, with an advance of the 50% of the system according to the client's measurement.
- Obtain the documents: Gap Analysis and Bases of the initial configuration of ZOHO, derived from the functional review of the application.
CRP 2
(Conference Room Pilot 2)
- The Zoho One tool is reconfigured.
- This is a scenario review and validation session with real data, with a preview of the 70% of the system based on the client's measurement.
- We validate the closing of gaps from the Gap Analysis and obtain results of final adjustments to the application. Then we will program the ZOHO “User Acceptance Test”.
UAT (User Acceptance Testing)
- We carried out the last review of scenarios under the closed gaps in each stage of the CRPs.
- We make the final adjustments to ZOHO.
- We prepare the tool for the live output or “Go Live”.
- We obtain customer acceptance of the functionalities validated by key users and other users involved in all previous stages.
TRAINING
- We schedule and execute training sessions for key users and others involved in the implementation of the system.
- We determine the “Go Live” day, which will be when the tool goes live, and we carry out communication actions for the event.
MEDIUM
- We provide remote technical support services on system functionality and resolve operational questions or workflow modifications.
